Terms of Service

Plain terms for a desktop application: what a licence covers, what a centre is answerable for, what we will and will not stand behind, and what happens to your records on the day you decide to stop paying us.

Who this is between

These terms are between the publisher of SDMS and the institution that installs it.

Where an operator uses the software they do so on the institution's behalf, and the institution stands behind what they do with it.

What a licence covers

One licence covers one centre: install the application on the machines that centre works from, run that centre's own examination cycles on it, and print whatever it produces. A spare machine kept for continuity is part of the same licence, not a second one.

Not covered: reselling the software, running an unrelated institution's cycles on a single-centre licence, handing the installer to centres outside your own, or taking the application apart to rebuild it. If you have grown past one centre, Federation + is the honest way to say so.

Plans, and what they cost

Single centre is free and stays free — a real plan, not a trial. Institution is ₹2,499 a month and Federation + is ₹5,999 a month, invoiced monthly in advance, exclusive of GST.

Cancel whenever you like: the plan runs to the end of the period you have paid for and then stops. We do not bill a month you did not mean to start.

What the centre is responsible for

Five things, and the software cannot do any of them for you:

  • The accuracy of what is entered — names, dates of birth, marks, and the grading scheme itself
  • Guardian consent for candidates who are minors, recorded at admission
  • A backup you have restored from at least once, kept somewhere other than the office computer
  • The security of the machine: an account per operator, disk encryption, a password nobody shares
  • Deciding what is published to the portal, and unpublishing it once a cycle is closed

What we are responsible for

Updates for the supported builds, an answer from a person during working hours, and help with installation, backup, bulk import and moving a centre from one machine to another.

We will not change how a release already installed computes a result. Where a rule has to change it changes in a new version, with a note that says so, so a re-issued sheet can always be traced back to the version that produced it.

Documents the software produces

Grade sheets, admit cards and certificates are issued by the centre, not by us. We do not attest or verify any document your operators print — the authority behind a certificate is the centre's own.

Two rules travel with the software regardless. A duplicate is printed as a duplicate, carrying the original's serial and marked as a re-issue. And nothing may be issued that the centre is not authorised to issue: a forged, backdated or unauthorised document ends the licence on the day we learn of it.

Availability

The application runs on your machine and does not need us to be reachable. A cycle can be entered, computed, printed and closed with the office offline, which is rather the point of it.

The published portal is a hosted service, offered on a best-effort basis. We do not promise an uptime figure for it, and the desk keeps working when the portal does not.

Your records, on the way out

The records are your property throughout. On cancellation the database file stays exactly where it always was — on your machine — and we will help you export it to a plain format if you would rather not depend on ours.

Published results are erased within thirty days of the last paid period. Nothing is held back to make leaving harder.

Where our liability ends

The software is provided as it is. Nothing here promises that a cycle will be error-free, that a result computed from figures an operator typed will be the right result, or that a machine you own will not fail.

Where we are liable at all, our total liability for a claim is capped at the fees paid to us in the twelve months before it arose — on the free plan, at nil. We are not liable for records lost where no backup was kept, for indirect or consequential loss, or for a decision an institution took on the strength of a figure it did not check.

Law, and changes to these terms

These terms are governed by the laws of India, and the courts at Nagpur, Maharashtra have jurisdiction. Before anyone goes near a court we will talk: write to the desk and expect a person rather than a form.

Any change is dated at the top of this page. A change to what you pay or what you are allowed to do takes effect thirty days after it is posted, and we email the address on your invoice rather than leaving you to find it.

Read this before you install, not after.

If a clause here does not work for your institution, say which one. Most of what is above is a default, and a default is negotiable when somebody actually asks.
